From the bill of quantities to a checked file.

You upload two things, the matching runs on its own, and you decide what goes into the file. At the end you have the handover file and a list of what is still missing.

The process

  1. Upload the bill of quantities

GAEB DA XML in phases X83 or X86, as well as GAEB 90 and GAEB 2000. An X84 usually has no long texts; in that case we ask for X83 or X86.

  2. Add the project folder

A folder or a ZIP with PDFs. Photos (JPG, PNG, TIFF) are read as PDF. Other formats are listed and skipped for now.

  3. Evaluation runs

For each item the component type and required documents are determined, then the files are recognised and matched, each match with a reason. You can follow the progress as it runs.

  4. Check what is missing or uncertain

First you see what is missing and which matches you should check briefly. For each item you choose “Correct”, “Other document” or “Really missing”; the GAEB text is beside it.

  5. Download file and missing list

The handover file as a PDF with cover sheet, table of contents following the bill of quantities, a divider per item and bookmarks. The missing list as PDF or CSV, with item and reason.

The traffic light per item

Every item gets a status, with symbol, word and colour as in the application.

Verified
All required documents are matched and confirmed, or evidenced automatically: same type number, certain document type, same manufacturer.
Needs clarification
The match is uncertain or the item is described too generally. Please check briefly.
Missing
At least one required document is not in the project folder.
Own proof
The item requires your own certificate, such as a commissioning report. It stays on the missing list until you add it.
Not relevant
No manufacturer documents are needed for this item.

What you still do yourself

The tool checks and sorts. Four things stay with you.

  • Getting documents

You fetch missing manufacturer documents yourself, for example from the manufacturer’s portal. The missing list tells you which.

  • Filling in certificates

You create test reports and declarations as before. You see which are missing and where they belong.

  • Calculating plant values

Room concentration, the category under the Pressure Equipment Directive or inspection duties by an approved body are determined by you or your expert.

  • Promising acceptance

Whether the file is accepted is up to your client. Their specification always takes precedence.

Know what’s missing.
