Know what’s missing before the retention kicks in.
Upload the GAEB bill of quantities and your project folder. For every item you see which documents are required, which are there and which are missing, and you get the handover file as a PDF.
For refrigeration and air-conditioning contractors.
The plant is running. The final invoice is waiting.
The retention depends on the file
Many clients hold back part of the payment until the as-built documentation is complete; up to 5 % of the invoiced amount is common. Some specifications require the documentation before acceptance.
Every client wants it differently
There is no single standard. What goes into the file is set out in the bill of quantities or the client’s specification, and it has to be read again for every project.
Gaps show up late
Data sheets, declarations and manuals sit in folders, inboxes and behind manufacturer portals. What’s missing often shows only when the file comes back. By then the team has long moved on to the next project.
Closing the loop
Just like the plant itself: every component in the bill of quantities needs its documents. Only when all of them are there is the documentation closed.
The bill of quantities is the checklist
Each GAEB item is read for its component and the documents it needs. You don’t re-enter anything.
Your project folder shows what’s there
Data sheets, declarations and manuals are matched to the items, each with its source: type number and page.
You decide
Every match comes with a reason, the GAEB text right next to it. You confirm or correct, and your correction survives a new evaluation.
What’s missing is on the list
If a document is missing, you see it right away: on the missing list, with item and reason.
Add it, and the loop is closed
Upload the missing document. The item is complete, and the handover file with cover sheet, table of contents and dividers is ready.
Checking instead of searching
A filing system finds files again. Here every file is checked against what your bill of quantities requires.
- The bill of quantities is the checklist
- Each item is read for its component and the documents it needs. You don’t re-enter anything.
- Every match with its source
- Type number and page are shown, and the preview jumps to the spot in the PDF. Catalogues never count as evidence.
- You decide
- Only what you have confirmed or what is clearly evidenced goes into the file. Your corrections survive a new evaluation.
- No new system
- You upload and download the result: the file as a PDF, the missing list as PDF or CSV. Your ERP and filing stay as they are.
Your project files stay private
- Sign-in with a one-time code by email, no password.
- AI processing only through endpoints in the EU, with no training on your data.
- The model sees text excerpts, not the whole folder.
- You delete projects yourself, at the push of a button.
- Downloads through short-lived links; access is logged.
Frequently asked questions
Which formats are supported?
GAEB DA XML in phases X83 and X86, as well as GAEB 90 and GAEB 2000. An X84 usually has no long texts and is rarely enough.
Do I have to supply the manufacturer documents myself?
Yes. You upload your project folder; Nevito checks what’s in it and shows what’s missing.
What about my own certificates?
You add leak tests, commissioning reports or contractor declarations as documents. You see which are missing; which plant a certificate belongs to is suggested and confirmed by you. You still fill them in yourself.
Does this replace the expert’s review?
No. Only what you have confirmed or what is clearly evidenced goes into the file. Catalogues never count as evidence.
Which rules are used for the check?
Which documents a component needs is defined in a rule set maintained by a refrigeration specialist. What the client specifies always takes precedence.
How do I get access?
We are building Nevito together with contractors right now. Request access; once approved, you set up your first project.
